Invoices and accounts receivable
Track customer invoices in NeoKivo, link them to deals, and watch what is outstanding with the AR aging view. Five statuses, one amount per invoice, no accounting software required.
NeoKivo tracks the invoices you send customers so the money side of a closed deal stays visible in the same place as the deal. Open Invoices in the main navigation to see every invoice in the workspace, grouped by status, and add new ones. You can change an invoice's status right from the list. An invoice can be linked to a deal, a contact, and a company (all optional) so a payment reminder is one click from the deal it belongs to.
Invoices live on their own page, not on the deal. You link an invoice to a deal from the invoice, and the reports page rolls everything up — but there is no invoices tab inside a deal.
The lifecycle
Every invoice has exactly one status, and you set it yourself as the real-world invoice moves along:

| Not invoiced | Money you expect to bill but have not sent an invoice for yet. |
| Sent | The invoice went out and is awaiting payment. |
| Due | Payment is expected now. |
| Paid | Money received. Setting this stamps the paid date automatically if you leave it blank. |
| Void | Cancelled. Void invoices drop out of all outstanding totals. |
"Overdue" is not a status you set. NeoKivo derives it: any sent or due invoice past its due date counts as overdue, and shows how many days it has been waiting.
Creating and editing invoices
- 1Open Invoices and click New invoice.
- 2Fill in the invoice number, the amount, and the status. An invoice carries a single amount — there are no line items.
- 3Set the issue date and due date. The due date drives the aging buckets and the overdue count.
- 4Optionally link a company, a contact, and a deal from the dropdowns.
- 5Add a note if you want context, and save. Edit any field later from the same dialog; when you mark an invoice paid you can record the paid date, or let NeoKivo stamp today.
The AR aging view
The Invoices page includes an aging summary of everything outstanding — invoices that are sent or due. Paid, void, and not-invoiced amounts are excluded. Each outstanding invoice lands in one bucket by how far past its due date it is:
- Current — not yet past the due date.
- 1–30 days overdue.
- 31–60 days overdue.
- 61–90 days overdue.
- 90+ days overdue.
AR on the reports page
The reports page carries an accounts receivable card with two numbers: Outstanding, the total of every sent and due invoice, and Overdue, the part of that total already past its due date. A link jumps to the full Invoices page. The card only appears when the workspace has invoices and you have permission to see financials.
Who can see and edit invoices
Viewing invoices requires the finance view permission; creating, editing, and deleting them requires finance edit. These are workspace-level permissions from your role. If an invoice is linked to a deal you cannot access, you still see the invoice, but the deal link is hidden. See the Access control section for how roles and financial visibility work.
