Clients you represent
Every workspace gets a record for every person or account you represent — the center the rest of the product hangs off. Agencies that sell their own work can simply leave Clients empty; deals work without a client.
- Client record: name, linked company, owner, status, internal reference, billing terms, default currency, and a default commission rate.
- Contacts, collaborators, and labels on each client, plus up to 50 custom fields of its own.
- Every document and activity for that client in one feed, and a list of linked deals with total value and expected payout.
- A deal can link one or more clients — the commission rate and role are copied onto the link at that point — but a deal never requires a client.
Deals linked to clients
A deal is more than a contact and an amount. NeoKivo models the internal deal team and the client-side relationship, links the organisations involved, and keeps documents, custom fields, and views on the record.
- Deal team: a primary owner plus co-owners, collaborators, and followers, each with their own view/edit access.
- Stakeholder roles on related contacts (decision maker, champion, technical evaluator, procurement, finance/legal, executive sponsor) and related companies.
- Custom fields on deals, contacts, companies, and clients (up to 50 each), with documents attached to the deal.
- Board or table view of the pipeline, and personal saved views (pipeline, owner, status, overdue, and field filters) so each agent can work their own slice.
Commissions: agency cut, splits, and payees
When a deal is linked to a client that carries a commission rate, NeoKivo works out the pool automatically and splits what's left after any outside claims.
- The commission pool is the client's rate applied to the deal value — it only exists when a linked client carries a rate.
- Take claims off the top for teammates, external payees, or a free-text name, as a percent of the deal or a fixed amount.
- The deal's owner and co-owners split what remains: an automatic equal share by default, or a manual percentage override, with a warning if splits exceed 100%.
- Reports show gross (deal value) vs net (the agency's commission after outside claims), broken down by agent, by client, and by payee, all converted to your reporting currency.
Invoices & AR: know what's outstanding
NeoKivo records and tracks the invoices tied to a deal so you always know what's been billed and what's still open — it doesn't send invoices for you.
- Record an invoice's number, amount, currency, and dates, and move it through five statuses by hand: not invoiced → sent → due → paid, or void.
- AR aging across Current, 1–30, 31–60, 61–90, and 90+ day buckets, with outstanding and overdue totals on the reports page.
- Marking an invoice paid stamps the paid date and freezes its exchange rate; an outbound webhook fires on invoice.paid.
- Every deal and invoice can carry its own currency, converted daily into your reporting currency for reports.
Who sees the money
Financial visibility is a permission, not a workaround. Decide which roles see deal values, the agency's cut, and the splits at all — a role without that permission sees none of it, not even its own line.
- Six built-in roles (owner, admin, manager, member, limited member, read-only) plus custom roles with granular permissions.
- Per-deal visibility (private, team, pipeline, or workspace), enforced on every deal read; a deal you can't access 404s rather than showing up masked.
- Financial masking is role-level and all-or-nothing: strip a role of finance access and it sees no deal values or commission lines for anyone, including its own.
- An audit log of role, permission, team, export, and deletion/restore changes, and a trash you can restore a deleted deal from.
Keep deals moving
Follow-up is a nudge, not a gate. Nothing stops a deal from sitting without a next step — Focus and the deal health score just make sure it doesn't sit unnoticed.
- Focus view collects what's overdue, due today, or upcoming, plus stale deals — open deals that have gone quiet with no next step set.
- A deal health score (5–100) that drops for a missing or overdue next action, or a deal gone quiet, so you can see risk at a glance.
- Automations: When (deal or contact created, stage/status/field changed, contact or company assigned) → If (conditions) → Then (send email, Slack/Discord message, create task, notify, add note, update or create a deal, wait, branch, confirm).
- Stage preflight can ask an agent to confirm a checklist before a stage move — a UI-level gate on that move, not a mandate on every deal.
AI that acts under your permissions
The Copilot updates records rather than just answering questions, and the same tool registry is exposed over MCP so your assistant of choice can work the pipeline too.
- The Copilot creates and updates deals, contacts, and companies; moves stages; logs notes; and sets next actions — it reads clients and invoices, but never writes them.
- Every action runs under your account's own permissions and deal visibility; a read-only workspace can't run AI at all.
- AI-suggested next actions are included and unmetered (with a daily cap); chat is metered in credits — 2,000 a month included, plus 400 per extra seat, 500 during the trial, with top-ups available.

NeoKivo isn't a walled garden. A real Zapier app, an MCP server, a REST API, and Gmail send with reply capture wire it into the tools you already run.
- Send from a connected Gmail account with shared templates; replies land back on the deal through a per-deal reply address (custom reply domains supported). Send-only access — NeoKivo never reads or syncs your inbox.
- REST API and signed outbound webhooks, both authenticated with an nk_live_ key (API keys are billing-owner-only).

Secure by default
Your documents are encrypted at rest with envelope encryption: each file gets its own key, wrapped by a key derived per workspace, and only the ciphertext is ever stored. Data handling is built to be careful, not an afterthought.
- AES-256-GCM envelope encryption for documents, with per-workspace key derivation, so only encrypted bytes reach storage.
- Exports respect deal visibility and financial masking: you cannot export what you cannot see.
