The CRM built for representation agencies.

Manage clients, track the deals you handle for them, and keep commissions, splits and payment status organized in one place.

14-day trial, no credit card.

Your clients, deals and commissions — together.

NeoKivo is the CRM your agency works in day to day: the client you represent, the deal you are handling for them, and the money on it sit on one record — and you decide which roles see the money.

Everything you’re handling for one client, on one record.

Each creator, athlete, model or author you represent gets a record of their own: the company behind them, their contacts, how they bill, and the commission you take by default. The deals you close for them sit on that record, with the running total and what they are due to receive. Agencies that sell their own work can simply leave Clients empty; deals work without a client.

  • Owner, status and internal reference
  • Linked company, contacts and collaborators
  • Billing terms and the currency they are paid in
  • A default commission rate, copied onto each deal when you link it
  • Labels, custom fields and encrypted documents
  • An activity feed of everything that touched them
  • Their deals, with total value and expected payout

Run the deals you handle for them.

A deal can carry one client or several, each with its own rate and role recorded on the link. Around it sit the stage, value and currency, the owner and co-owners, the brand’s contacts and companies, documents, and any custom fields you need. Work it as a board or as a table. Deals with no client behind them work the same way.

The NeoKivo pipeline board — deals grouped by stage, each card showing its value, owner, and next action.

Know what the agency earned — and who gets what.

The client’s rate sets the pool: 20% of a $40,000 campaign is $8,000. A manager, a lawyer or a referrer can claim a fixed amount or a percentage off the top, and what is left goes to the agents on the deal. Reports keep gross and net apart — the value the agency wrote against the commission it keeps — broken down by agent, by client and by who is paying, converted into your reporting currency at daily ECB rates.

  1. The client’s rate, applied to the deal value, sets the pool.
  2. Outside payees claim a fixed amount or a percentage first.
  3. The deal’s agents split what is left equally — or by percentages you set yourself.
  4. A warning appears when the splits pass 100%.
  5. What the client receives is the deal value minus the commission.

See what’s still outstanding without another spreadsheet.

Record an invoice against a deal, a contact or a company — number, amount, currency, issue and due date — and move it through sent, due and paid as reality catches up. The reports page adds it up: outstanding, overdue, and an aging breakdown from current out past ninety days. NeoKivo does not send the invoice or take the payment. It keeps the record of both, so you can see what is still owed.

Your team doesn’t need to see every number.

Six built-in roles, plus as many of your own as you need. A role without financial access sees no deal values and no commission lines at all, so a junior can work the deal without seeing what the agency makes on it. Per-deal visibility goes further: private, team, pipeline or workspace, checked on every read, so a deal that is not theirs is not there. Role changes, exports and deletions land in the audit log.

  • Workspace owner, admin, manager, member, limited member, read-only — plus custom roles
  • Deal values and commission lines hidden from a role outright
  • Per-deal visibility: private, team, pipeline or workspace
  • Teams, and access granted per pipeline
  • CSV export gated on its own permission, and audit-logged
  • Deleted deals go to a trash you can restore from

Keep every active deal moving.

Give a deal a next action with a date and the Focus view gathers what is overdue, due today and coming up — along with the open deals that have nothing scheduled. A health score marks the ones going quiet. It is a nudge, not a rule. Automations take the routine off you: when a deal changes stage, send the email, create the task, notify a teammate, or ask the agent to confirm before the move goes through.

The rest of what the agency runs on.

Documents encrypted at rest, on deals and on clients. Deals and invoices in their own currency, converted daily for reporting. An AI Copilot that creates and updates records inside your own permissions, and an MCP server so Claude, ChatGPT or Cursor can do the same. A REST API, signed webhooks and a Zapier app. Email sent from your connected Gmail with shared templates, and replies captured back onto the deal. CSV import that de-duplicates on email, custom fields on every record, and a table view for when a board is not enough.

Questions, answered

Talent, creator and influencer, model, sports, literary, music — agencies that represent someone and earn a commission on the deals they close for them. If that is how you work, the model will look familiar. A team that sells its own work can use NeoKivo too; Clients simply stays empty, since deals work without a client.
