Documents

Upload files, get them tagged and previewed automatically, link them to deals, contacts, companies, and clients, and trust that deal-restricted documents stay restricted.

Drag a file onto the Documents page, or use Browse files. NeoKivo accepts PDFs, common image formats, plain text and CSV, and Word, Excel, and PowerPoint files, up to 25 MB each.

Files are encrypted at rest with a per-document key, which is itself wrapped with a key derived separately for your workspace — so storage alone is never enough to read a file. See /gdpr for how NeoKivo handles data protection more broadly.

Auto-tagging

After upload, NeoKivo classifies each document into a tag — invoice, contract, receipt, tax, proposal, report, or other — from its filename and file type, and that tag becomes the folder it appears under. Tagging happens in the background, so a file briefly shows as "Tagging…" before it settles. You can move a file to a different tag by hand at any time, and a manual choice sticks.

Previews

PDFs get a thumbnail of their first page in both list and grid view. Images preview directly. Other file types show a plain type icon instead of a preview.

Linking to deals, contacts, companies, and clients

A document can be linked to one or more deals, contacts, companies, and clients — either at upload or afterward from its detail panel, which shows who linked it and when. Linking a document to a deal also adds an entry to that deal’s timeline. A document with no links is a shared library file, visible workspace-wide. Company and client pages each have their own Documents section listing what’s linked to them.

A deal page also shows a "From related records" list: documents already linked to the deal’s related contacts, companies, or clients, but not yet linked to the deal itself, so you can pull one in with a click instead of re-uploading it.

Switch between a list layout (name, links, owner, updated, size) and a grid of thumbnails using the toggle at the top of the page. Your choice is remembered on this device.

Trash and restore

Move to Trash archives a document without deleting it; Restore brings it back. Delete permanently is a separate, real deletion — it removes the file from storage and can’t be undone.

If your workspace uses document requirements, an unmet requirement row on the deal suggests documents tagged the same as what the requirement needs, pulled from the deal’s related records — a deterministic tag match, not AI matching. See required documents on deals for the full requirements flow.

Deal visibility

A document linked only to deals you can’t see is hidden from you too — document access follows the same visibility rules as the deals it’s linked to. A document with no deal link, or with at least one link to a deal you can see, remains visible.
