Clients you represent, deals tied to them
A Client record holds who you represent: contacts, an owner, billing terms, a currency, a default commission rate, and up to 50 custom fields of your own. Every deal can link to one or more clients — the commission rate, role and a note are copied onto that link — though a deal never has to have a client if you're just tracking new business. The client's page rolls up its linked deals with total value and expected payout, so it reads as an account view, not a hunt through the pipeline.
The agency's cut, agent splits, outside payees
When a deal is linked to a client with a commission rate, NeoKivo works out the pool: the client's rate applied to the deal value. Outside claims — a percentage or a fixed amount for a teammate, an external contact, or a free-text payee — come off the top for anyone outside the deal team. What's left splits automatically and equally across the deal's agents, or you can override any agent's percentage by hand; NeoKivo warns if the splits add up to over 100%. Reports break the numbers down gross vs net, by agent, by client, and by contact or company, all converted to your reporting currency.
What's invoiced, what's outstanding
Invoices are recorded against a deal, contact or company and tracked through their status — not invoiced, sent, due, paid, or void — with an accounts-receivable aging view (current, 1-30, 31-60, 61-90, 90+ days) so you can see what's outstanding and what's overdue at a glance. NeoKivo doesn't send invoices or collect payment for you; you record what went out and what came back, and the numbers roll into your reports alongside the commission gross/net breakdown.
Decide who sees the money
Financial visibility is controlled by role, not by request. A role without permission to view finances sees no deal values and no commission lines at all, and a role without commission visibility sees no split or pool figures — on any deal it can otherwise see. Give an agent a role that keeps those permissions off and they can work a deal, move its stage, log activity, without ever seeing the agency's cut. Per-deal visibility (private, team, pipeline or workspace) and an audit log of role and permission changes round out who can see and touch what.
Follow-up, without losing the thread
Underneath the client and commission layer is still a normal pipeline: a Focus view surfaces deals that are overdue, due today or gone quiet, and a deal health score flags the ones drifting. None of it is a hard gate — a deal can sit without a next action — it's there so new business doesn't go quiet while you're heads-down on delivery for an existing client.
