A CRM for talent agencies: bookings, usage fees and payee claims off the top
A talent or model agency's pipeline is bookings, not sales calls: each booking is a deal, linked to the talent it's for. NeoKivo works out the agency's commission on the booking, lets a mother agency, a licensor, or any other outside payee claim a percentage or fixed amount off the top, and splits what's left across the agents who worked it. It's the same client-and-commission model every NeoKivo agency uses — there's no separate bookings feature, just a deal record flexible enough to carry one.
The problems we fix
- Bookings and usage fees for each piece of talent are tracked outside the CRM, disconnected from who represents them.
- A mother agency's or another outside claim's cut has to be worked out by hand before the rest of the commission is split.
- It's hard to see what's been invoiced for a booking and what's still outstanding.
- Every booker can see every commission figure, mother-agency claims included.
A booking is a deal, linked to the talent
Each piece of talent you represent is a Client record: contacts, billing terms, a default commission rate, and up to 50 custom fields of your own, for things like exclusivity or category. Log a booking as a deal and link it to that client; the commission rate on the client carries onto the deal at link time, so you're not resetting it every booking. The client's page rolls up every deal booked for that talent with its total value.
Mother agency and other claims come off the top
Add an outside claim to the deal — a percentage or a fixed amount — for a mother agency, a sub-agent, a licensor, or anyone else who takes a cut before your agents do; it can be tied to a teammate, an external contact, or just a name. NeoKivo works out the pool from the client's commission rate and the booking value, subtracts every outside claim, and splits what's left equally across the agents who booked it, or by a manual percentage you set. A warning flags it if the splits ever add up to more than 100%.
What's been invoiced for the booking
Record an invoice against the deal, contact or company for a usage fee, buyout or residual, and track it through not invoiced, sent, due, paid or void, with an accounts-receivable aging view showing what's outstanding and what's overdue. NeoKivo tracks the status; it doesn't generate or send the invoice for you.
Keep the commission figures need-to-know
Booking value and commission splits, mother-agency cut included, are only visible to roles with finance and commission permissions; a role without them sees none of it, on any deal. Custom roles, per-deal visibility, and an audit log let you set that up the way your agency actually runs.
FAQ
Does NeoKivo handle talent-agency bookings?+
There's no separate booking feature: a booking is a deal, linked to the client (the talent) you represent, and it carries the same commission, splits, invoice tracking and visibility controls as any other deal.
Can a mother agency or outside payee take a cut before my agents split the rest?+
Yes. Add an outside claim — a percentage or fixed amount, for a teammate, an external contact, or a name — and it comes off the top of the commission pool before the remainder splits across your agents.
